Reports

Reports shows spend, orders and shipments for your company. Each report can be downloaded as CSV, or emailed to you every Monday or on the 1st of each month: choose the report and a schedule, and change or stop it at any time. Choose Only when there’s something to report to skip weeks when a report would be empty, such as Low stock when nothing is low. An email lists up to 40 rows; the rest are on the page and in the CSV. Beside each schedule you'll see when it last ran and what happened. If a report stops being available to you (for example, your account is no longer linked to our ordering system), its emails stop and this page says why. If an email doesn’t go out, we try once more a couple of hours later. Press Email me this now beside a report to get it by email straight away, to check what it looks like. Reports are only emailed to addresses at your company’s email domains; if yours is different, ask your Drummond team. If a report email goes unopened for a long time, we may pause it and email you to say so; choose a schedule again to restart it.

On the report card, each quarter's orders, spend and number of jobs shipped can be a link: it opens the jobs or invoices that make up the figure, as of the date shown.

A numbered circle above a quarter is a note from us about that period, such as a price change; the notes are listed under the chart.

Report card

Administrators, approvers and accounts payable can open Report card by quarter: how many orders you placed, what you spent, your average order and how often jobs shipped on or before the promised date, for this quarter so far and the four before it. It's handy for quarterly reviews and prints cleanly. Figures are refreshed once a day; a quarter we couldn't fully read says "not available" rather than showing a number that's too low. Charts above the table show spend, orders and on-time shipping by quarter; point at a column (or tab to it) for its figure, or open Show as a table. Administrators, approvers and accounts payable also see spend by quarter on the home page.

Where it’s switched on, your monthly report emails end with the report card for the last four quarters, if you’re one of the people who can see it. It shows in the email itself, so it reads fine even with pictures blocked.

Your report card may open with a line on what stands out: a change of 10% or more in spend or orders, or of 5 points or more in on-time shipping, between your last two full quarters. It’s worked out from the figures on the card.

Send a report to colleagues

If your portal has it, once you have a report emailed on a schedule you can have it sent to colleagues too, under Send my report emails to colleagues too. Each person, you included, can have a filter: words separated by commas, and their email keeps only the rows that mention one of them. If a report is sent to you this way, it’s listed under Reports colleagues send you, where you can stop it.

Share a report by link

If your portal has it, Share a report by link at the bottom of Reports makes a link to one report, or your report card, for someone who doesn’t sign in to the portal, such as your auditor. Choose how long it works (1, 7 or 30 days) and add a note of who it’s for. Copy the link straight away: it’s shown only once. Anyone with the link can see the report until it expires, so send it only to the person who needs it. You can revoke it at any time under Shared links, which also shows how often each link was opened. Your company’s portal administrator can see and revoke everyone’s links.

Your Drummond team can tailor the Low stock report to the items you track (for example, leaving out samples) and the note that comes with emailed reports. Ask them if something you need is missing.
