Getting started: your first visit

Everyone starts with the same four steps. After that, follow the part for your role: you'll find your role under Account, and Roles and what each one sees explains them.

Everyone

  1. Sign in. Choose Sign in, enter your work email and type the code we email you. No password to remember. More about signing in.
  2. Look around your home page. The figures at the top show your jobs in progress, open support requests and, if you pay invoices, your open balance. The shortcuts below them are the things your role does most. The menu on the left (the menu button on a phone) lists every part of the portal you can use.
  3. Choose your emails. Open Account and tick the emails you want: shipment notices with tracking, proof reminders, quote follow-ups and more. Your account and notifications.

For administrators

Administrators can do everything in the portal, so the buyer, approver and accounts payable parts below apply to you too. Your extra job is looking after your company's users.

  1. Check your team. Under Account, make sure everyone who needs the portal is listed with the right role, and turn off anyone who has left. Managing your team.
  2. Invite colleagues. Add each one with their work email and a role; they get an invitation by email.
  3. Answer access requests. Colleagues can ask for access from the sign-in page. You're asked first; approve or decline them on the Account page.
  4. Tell us how much to show. Your Drummond team can show only recent history, turn off paying online, or let each person see only their own requests. What your company has chosen to show.

For buyers

  1. Find your jobs. Job status shows every job with its step and promised date, late ones first. Job status and tracking.
  2. Place an order or reorder. Start from Orders, or press Reorder on a past job. Orders and reorders.
  3. Ask for a quote. Quotes takes a request and shows the estimates we send you. Quotes and estimates.
  4. Send files. Upload print files on Send files and read the check that comes back. Sending files.
  5. Set up a report. Have spend, orders or low stock emailed to you weekly or monthly from Reports. Reports.

Also for buyers: inventory and stock alerts, checking a mailing list and looking at proofs.

For approvers

Approvers can do everything a buyer can, and also approve proofs and estimates.

  1. Turn on proof reminders. Under Account, tick the daily reminder about proofs waiting, so nothing sits unnoticed.
  2. Review a proof. Open Proofs, download the proof, then approve it or ask for changes. You can also send it to someone without an account, or pick a date to be reminded. Reviewing and approving proofs.
  3. Approve an estimate. Open the estimate under Quotes, choose the quantity and add your PO number. Quotes and estimates.

For accounts payable

  1. See what's open. Invoices lists open and paid invoices with due dates. Invoices and statements.
  2. Pay online. Tick one or more invoices, or pay part of one, and pay by card. A receipt is emailed and kept under Invoices. Paying an invoice.
  3. Print a statement. The statement shows everything open, with aging; print it or save it as a PDF.
  4. Check your billing details. Billing details is where you tell us who gets invoices and statements, your PO rules and your tax exemption certificates. Billing details and tax exemption.

Paying without an account

You don't need to sign in to pay a Drummond invoice. Use the link in the email we sent, or open Pay an invoice and type the invoice number and amount. Paying an invoice.
